Overview
Email reports keep your team informed with scheduled updates on uptime, downtime, issues, performance, and more. Admins can create reports that automatically send at the end of a shift, daily, or weekly, ensuring everyone has the latest data without needing to log into Guidewheel.
Prerequisites
Admin permissions in Guidewheel
Shifts already created (if scheduling reports by shift)
List of team members who should receive reports
Step-by-Step Instructions
Go to Settings.
Select Preferences.
Click Email Reports.
Existing reports will be listed here.
Click the + button to create a new report.
Configure the schedule:
Shifts – Select from your existing shifts.
24 hours – Send a daily report.
7 days – Send a weekly report.
Choose the send time:
For shift reports, schedule 30 minutes after the shift ends.
Example: If 1st shift ends at 1:30 PM, schedule the report for 2:00 PM.
Select the recipients who should receive the report.
Enter a Report name (e.g., “End of Shift Report,” “Weekly 24-Hour View”).
Add the widgets you want included:
Uptime – Mirrors the Uptime page view.
Downtime – Shows downtime tags, reasons, and codes.
Issues – Displays a Pareto chart, sortable by duration, frequency, tags, or devices.
Trends – Provides charts or tables similar to the Trends page.
OEE – If enabled, shows OEE trend lines and graphs.
Performance – Displays cycle rate, pieces per minute, or other sensor-based metrics.
Energy intensity – Shows energy efficiency metrics.
Energy – Displays overall kW consumption.
For each widget, apply filters to ensure only the correct devices are included.
Review all details, then click Save.
Your report will now appear in the Email Reports list and will automatically send on the defined schedule.
Tips & Best Practices
Shift reports are most effective when scheduled 30 minutes after the shift ends, allowing time for last-minute updates.
Use clear report names so recipients know what they’re receiving (e.g., “Packaging Dept – End of 2nd Shift”).
Limit recipients to only those who need the report to avoid unnecessary email volume.
Start with core widgets (Uptime, Downtime, Issues) before adding advanced ones like Energy or OEE.
Troubleshooting
Symptom: Team isn’t receiving the report.
Fix: Confirm recipients are listed and their email addresses are correct.Symptom: Data in the report looks incomplete.
Fix: Check that the correct devices are selected in widget filters.Symptom: Wrong shift data appears.
Fix: Confirm that Shifts are correctly set up in Guidewheel and properly assigned when scheduling.
